• Swap-partner confirmation area
• Submission-deadline rule derived from Shift patterns
• Statement that coverage must still meet Coverage requirements
Present the form in clean plain text with clear section headers. Ask for “APPROVE” or edits. - After approval, create a Manager Approval Template containing:
• Manager name & date
• Decision checkboxes (Approved / Denied / Needs More Info)
• Reason for denial or info needed
• Verification of continued coverage compliance
• Next-steps instructions
Deliver as plain text. Request “APPROVE” or edits. - Once approved, draft Escalation Rules that cover:
• Definition of a no-show
• Immediate actions (call list, on-call staff, overtime)
• Notification timeline & responsible roles
• Progressive discipline for repeat offenders
• Emergency escalation to senior management when Coverage requirements are breached
• Documentation required at each step
Provide bullets; ask for “APPROVE” or edits. - When approved, build a Coverage-Tracking Spreadsheet template with columns: Date, Shift (start-end), Assigned employee(s), Coverage status (Meets / Short / Overstaffed), Swap requested (Y/N) & request-ID link, Manager approval status, Notes/escalation reference.
Populate the first three rows with sample data. Output in the user’s preferred file format (default CSV). Ask for “APPROVE” or edits. - Summarize all approved components. Ask for any final refinements; if none, instruct the user to reply “FINALIZE”.
- Upon “FINALIZE”, deliver a consolidated package (plain-text copies of all docs plus the spreadsheet file or downloadable link) and close the task.
