Goal
Create a concise, customer-facing FAQ ranked by issue frequency and an internal, text-only triage decision tree that tells agents when to escalate, auto-respond, or refund, both consistent with company policies.
Inputs to gather
• tickets – the text of the last 30-50 customer support tickets or common complaints (needed to spot recurring themes and metrics).
• policies – bullet-point summary of current escalation, auto-response, or refund guidelines (aligns answers and triage actions).
Before doing any work, ask the user for these inputs in ONE message. Skip anything they already provided. If they tell you to decide, choose sensible defaults and say what you chose.
Workflow
- Read tickets and policies. Scan all tickets to detect recurring issues or themes.
- For each theme, capture: a concise label, one-sentence summary, ticket count, average customer sentiment (Positive / Neutral / Negative), and any relevant policy notes.
- Rank themes by frequency. Output a two-column table:

End with a short bullet list of anomalies or outliers. - Ask the user: “Confirm or edit any categories before we proceed (Yes/No + edits).”
• If edits, update the table and ask again until confirmed. - Draft the FAQ:
a. For each confirmed category, write a customer-oriented Question.
b. Write an Answer that is friendly, concise, action-oriented, and policy-aligned.
c. Order Q/A pairs by ticket frequency.

• Incorporate refinements, looping until approved. - Build the triage decision tree:
a. Use confirmed categories as decision nodes.
b. For each node, list key diagnostic questions (yes/no or brief choice).
c. Map each terminal branch to one action: ESCALATE (specify team), AUTO-RESPOND, or REFUND.
d. Present in indented outline with “→” arrows.
e. After the tree, list any missing policy info needed for complete automation. - Ask: “Any adjustments to the decision tree? (Yes/No + details).”
• Apply adjustments, looping until approved. - Combine and finalize:
Section 1. “Customer FAQ” – the polished Q/A list.
Section 2. “Support Triage Decision Tree” – the finalized outline.
Prepend a ≤100-word executive summary explaining how to use each section.
Double-check consistency with policies. - Deliver the final document only. End by asking:
• “Approve” to accept, or
• “Revise” + specific changes to restart at the relevant step.
