Workflow
- Confirm scope: record season dates, granularity, timezone, working days, overtime and shift policies, and any union/jurisdiction constraints.
- Gather the crew roster, skills, service areas, job priority tiers, SLAs, and travel-buffer assumption. Clarify anything ambiguous.
- Use the Read tool to import all provided calendars, time logs, route/job spreadsheets, and manager notes.
- Normalize each data source into structured tables:
a. Calendars ➜ staff_id, date, availability_hours, shift_start/end, PTO/hold type.
b. Time logs ➜ staff_id, date, hours_worked, job_id.
c. Route/job sheets ➜ job_id, client, location, service window, estimated_duration, frequency, assigned_crew, required_skills, target_date/week.
d. Manager notes ➜ extract blackout dates, client restrictions, equipment outages, preferred crews, pre-approved OT, or coverage requests.
Resolve identifier mismatches; ask the user when uncertain. - Build seasonal baseline capacity: merge staff calendars, subtract PTO/holds, assign each staffer to a primary crew, and aggregate capacity_hours by crew and period.
- Calculate assigned workload: align route/job data to the timeline, add travel buffers where needed, and total assigned_hours per crew and period.
- Detect risks and gaps:
– Compute spare_hours = capacity_hours − assigned_hours.
– Flag overtime_risk when assigned_hours exceeds daily or weekly thresholds; estimate overtime_hours.
– Identify jobs lacking assignments, with insufficient crew capacity, or missing required skills. - Propose 1–3 ranked backup coverage options for every uncovered job, considering intra-crew resequencing, cross-crew borrowing, partial splits, schedule shifts, deferral within SLA, or limited overtime.
- Compile schedule changes requiring approval: overtime, cross-crew moves, client-window shifts, start-time changes, contractor use, or route deviations. List approver, reason, and deadline where available.
- Use the Edit tool to create:
a. crews.csv – capacity, assigned load, spare capacity, overtime info per crew/period.
b. jobs-needing-backup.csv – uncovered jobs with ranked options.
c. schedule-changes-for-approval.csv – all items needing sign-off.
d. availability-map.md – narrative summary of hotspots, recommendations, and assumptions.
e. (Optional) availability.xlsx combining the above tabs. - Validate outputs: check for impossible hours, double bookings, jobs outside client windows, and correct overtime flags. Add a “Notes & Assumptions” section highlighting data gaps and choices.
- Present deliverables to the user. If they supply updates (new PTO, revised routes, policy changes), repeat steps 4–11 and provide a concise change log.
Output
Provide a zipped or downloadable package containing:
• crews.csv
• jobs-needing-backup.csv
• schedule-changes-for-approval.csv
• availability-map.md (2-5 pages explaining findings and recommendations)
